Privacy Policy
The short version
Bernardbot holds a kid's schoolwork, so we treat it that way. We don't sell data, we don't run ads, and we don't show a student's information to anyone except the parents they're linked to.
Homework photos and chat messages go to Google's Gemini API so Bernard can read them โ nobody else. Email hello@bernardbot.com and we'll delete an account and everything in it.
Who this covers
Bernardbot (โweโ, โusโ) is a homework assistant for students and families at bernardbot.com. This policy covers the website, the app, and the emails we send, and it applies to everyone who uses Bernardbot โ students, and the parents or guardians linked to them.
What we collect
- Account information. Your name, email address, and profile image if your sign-in provider supplies one. Sign-in is handled by Clerk; we never see or store your password.
- Student profile. The name the family uses for the student, their school if they enter one, their timezone, the time of day they check in, evening reminder settings, and the start and end dates of their school year.
- Schoolwork. Class names and teachers; homework, tests and projects with their titles, details and due dates; whether each one is done; and days off from school.
- Photos and files. Photos of whiteboards and assignment sheets, class schedules, and school calendars that a family uploads.
- Conversations with Bernard. The messages in each check-in, onboarding, and ask thread, including the assignments Bernard created from them.
- Email records. Which of our emails went to which address on which day, plus the delivery id our email provider returns. This is what stops a nightly job from sending the same digest twice.
- Technical data. Our hosting and infrastructure providers log ordinary request data โ IP address, browser and device type, timestamps โ to serve pages and to spot abuse.
What we don't collect
- No ad tracking. There are no ad networks, analytics trackers, or third-party tracking pixels anywhere in Bernardbot.
- No grades. Bernardbot records that work is due, not how it was scored, and it doesn't connect to school gradebooks or student information systems.
- No payment information. Bernardbot is free during beta and we never ask for a card. If that changes, a payment processor will handle it and we'll update this policy first.
- No location. We ask for a timezone, not a place, and the app never requests device location.
- No selling. We have never sold or rented personal information and we don't intend to.
How we use it
- To run the product: show what's due today, sort it by date, and keep classes and days off straight.
- To read the photos and messages sent to Bernard and pull assignments out of them.
- To send the emails you asked for: the afternoon check-in nudge, the evening reminder, the parent digest, and invitations.
- To keep the service working and secure โ debugging, backups, and preventing abuse.
- To answer you when you write to us.
We don't build advertising profiles, and we don't use family data to train AI models โ ours or anyone else's.
Children and families
Bernardbot is built for school-age kids, so this section matters more than most.
- A student under 13 does not create their own Bernardbot login. A parent or guardian sets the student up and manages the account, which is what makes the parent the one consenting to whatever their kid's profile holds.
- A student 13 or older can have their own login, either by signing up directly or by accepting a student-login invite from a parent.
- A parent with an active link to a student can see everything on that student's account, and can ask us to correct or delete any of it.
- We collect from a student only what the product needs: a name, a school, classes, and assignments. We never ask a kid for a phone number, a home address, a birthday, or anything about their family.
- We show no ads to anyone, we don't profile students, and we don't share a student's information outside the parents linked to them and the providers listed below.
- If you believe a child's information ended up in Bernardbot without a parent's involvement, email hello@bernardbot.com and we'll delete it.
AI processing
Bernard is built on Google's Gemini models. When a student chats with Bernard or uploads a photo, that message, that image, and the relevant parts of their class and assignment list are sent to Google's Gemini API so the model can reply and pull out assignments. Google processes it to return a result and, under the terms of the paid API, does not use it to train its models. We don't train any model on family data.
Bernard can be wrong. Check a due date that matters against what the teacher actually said.
Where it's processed
Bernardbot runs on infrastructure in the United States. If you use it from somewhere else, your information is processed in the US.
How long we keep it
We keep a student's account and schoolwork while the account is active โ last term's assignments are what make history and streaks work. Email send records are kept about a year. When you ask us to delete an account, we remove the profile, assignments, messages and uploaded files within 30 days; encrypted backups age out within another 90.
Security
Traffic is encrypted in transit over HTTPS, with HSTS on. Uploads sit in a private bucket and are only reachable through short-lived signed links issued to a signed-in member of that family. Every database read and write checks who is asking. Passwords are handled by Clerk and never touch our servers. No system is perfect โ if we ever have a breach that affects you, we'll tell you.
Your choices
- See it. Everything we hold about a student is visible in the app, across Today, Assignments, Classes, and Settings.
- Change it. Names, schools, classes, check-in times and reminders are all editable in Settings.
- Turn off email. Parents can switch the nudge and the digest off per student in Settings; students can turn off the evening reminder. We'll still send account and security messages.
- Delete it. There is no self-serve delete button yet. Email hello@bernardbot.com from the address on the account and we'll delete the account and its data within 30 days.
- Depending on where you live, you may have further rights to access, correct, export, or delete your information, or to complain to a regulator. Write to us and we'll honor them โ and we won't treat you any differently for asking.
Changes to this policy
If we change this policy we'll update the date at the top, and if the change is significant we'll email the addresses on affected accounts before it takes effect.
